Guide · Partners & Hosts

You bring the people. We bring the course.

Universities, organizations, student orgs, and individual hosts make this program reach communities we couldn't reach alone. Here's how hosting works, and how we support you.

Four ways to partner

There's no fixed minimum to get started—tell us about your community and your plans, and we'll find the right format together.

Institutional

Universities & organizations

You bring the participants; we bring the materials, the course, and facilitators.

You provide the venue (if in-person), recruitment, and local logistics. We provide the facilitators, the standard agenda and materials, tracking and reporting, and the certificates pathway.

Community host

Individuals & student orgs

Host your own event: in your school, org, barangay, or community. You follow the same standard agenda and submit the same data as any other event, and qualify for financial support when your event meets the minimum requirements—see how support works.

Bring a group

Join a SmartCT event

No event capacity of your own? Bring your members to one of our scheduled webinars or in-person sessions instead. Declare your group before the event—through the event registration form or a shared list—and their completions count toward the same host support as a hosted event.

Guest slot

Invite us to your event

Already running an assembly, conference, or org meeting? Give us 15–25 minutes. We introduce the program, and your people register for the next session—or the self-paced track—right from their phones. Zero logistics for you beyond the time slot.

Not sure what your event should look like? The Event Types page lays out six ready-made formats—from a 30-minute intro to a full guided run to hot-topic and clinic sessions—so you can pick the shape that fits your audience and time before you talk to us.

Minimum event requirements

Every event, every host—these six requirements qualify your event (and your financial support):

  • The standard agenda is followed
  • A complete participant/beneficiary list is captured with all required fields
  • Every participant is registered and enrolled on ADA before the event ends
  • A Partner Coordinator is present and accountable for follow-up
  • Completion is tracked until each participant finishes or the cohort deadline passes—as a partner, it is your responsibility to ensure your participants complete the course in order to qualify for the financial support
  • Post-event data (attendance, completions, photos/documentation) is submitted to the Program Officer

One named person on your side—coordination, not teaching

Every partner must name at least one Partner Coordinator/s—someone from your organization who is responsible for ensuring the completion of the course. The Partner Coordinator does not need to be a trainer nor an AI expert: the course teaches itself and the Coordinator's job is, as the name implies coordination.

The Partner Coordinator:

  • Gets participants pre-registered and captures the participant list
  • Keeps participants in the room (or on the call) through the agenda
  • Submits post-event data—attendance, completions, documentation
  • Stays the point of contact for follow-up until the cohort finishes or its window closes

We support you the whole way—light-touch, so the Coordinator is never alone but never buried:

  • An onboarding briefing before your first event
  • The standard agenda, slide deck, and materials—ready to use
  • A SmartCT contact for questions and technical hiccups
  • The Program Officer answering within days, not weeks

Host support—and how it's counted

Financial support for hosts: PhP 3,000 for every 50 participants who successfully complete the course. Completion—all three course requirements—is what counts, not attendance.

Scenario 1: Bringing your group to a SmartCT event

  1. You tell us you're coming

Your student org decides to join the Saturday webinar together. You let the Program Officer know—before the event—that your members are joining as your group.

  2. Your group is declared before the event

Your members register through the event's registration form and select your organization, or you share your group's list with the Program Officer ahead of time. Either way works—what matters is that it happens before the event.

  3. They attend and complete

Your members go through the course and finish all three completion requirements. Completion is verified on the ADA platform—never self-reported. As a partner, it is your responsibility to ensure your participants complete the course in order to qualify for the financial support. This is why the Partner Coordinator is very important.

  4. Every completion adds up

Each verified completion from your group joins your running total—and the total accrues across all your events and groups, so a small event this month and a group next month count together.

  5. Support is released per milestone

Every 50 completions attributed to you: PhP 3,000 in host support. The Program Officer walks you through liquidation and disbursement.

Declare before, not after. Groups count when they're declared before the event—via the registration form or a shared list. Lists sent after an event can't be credited. This keeps support fair and verifiable for every partner.

Scenario 2: Hosting your own event

  1. You plan an event that qualifies

Your org sets a date, books the venue (or the call), names its Partner Coordinator, and pre-registers participants—meeting the six minimum requirements. SmartCT briefs your Coordinator and hands over the standard agenda and materials.

  2. You run it to standard

Your team runs the standard agenda; every participant is registered and enrolled on ADA before the event ends, with a SmartCT contact on hand for questions.

  3. You follow up until they finish

This is the part that earns the support: if not everyone completes on the day then the follow-up is yours. Your Coordinator tracks who's unfinished—with light-touch support from us—until each participant completes or the cohort window closes.

  4. Completions accrue, support is released

Verified completions from your event join the same running total as your groups, and every 50 releases PhP 3,000—so the follow-up work in step 3 is exactly what turns attendance into support.

Your participants, your completions. A partner is always accountable for the completion of its own participants—hosting the event is half the job; carrying your people to the finish line is the other half. Support is paid on completions, never attendance, so an event without follow-up earns nothing. SmartCT backs you up with templates, check-in scripts, and a contact who answers—but the accountability stays with you.

From interest to reported event

  1. Express interest

Reach out through the program channels with your proposed audience, location, and preferred format (in-person, webinar, hybrid, or an async intro session).

  2. Onboard as a partner

Agreement or endorsement as needed (MOA for institutions), an onboarding call, the branding and communications guidelines—and you name your Partner Coordinator.

  3. Plan the event

Set the date and format, confirm the venue and connectivity, and coordinate facilitator assignment. Pre-register participants so the list exists before the day starts. Plan ~3 hours for a full synchronous run.

  4. Run it to standard

The standard agenda is run by our facilitator (SmartCT-hosted events) or by your team with our materials (self-hosted). Your Partner Coordinator handles logistics, keeps participants in the room (or on the call), and captures attendance and photos for documentation—with a SmartCT contact on hand for questions.

  5. Report and follow through

Submit the participant list and post-event data. For async cohorts, support the follow-up until completions land—that's what your support payment is based on.

Recognition works both ways

Events are co-branded with ASEAN AHEAD and program partners—follow the branding guidelines and tag the official accounts in your posts. Outstanding hosts and partners are featured in program spotlights, and strong partners are the first we call for future programs and opportunities.
